Recruiting
Hiring Process
  • Agency completes EAA (Employee Action Authorization) online.
  • Agency sends employee to the University Enterprises Human Resources department with:
    • Completed EAA form, and
    • Two forms of identification with documents that establish identity and employment eligibility (i.e. Picture I.D., Passport, Social Security Card, or Birth Certificate).
    • Orientations are held on a walk-in basis. Location / Hours

Rate Changes
  • Agency completes top and section 2 of EAA form
  • Effective date must be 1st or 16th of the month (retroactive ok).
    Send EAA to University Enterprises Human Resources department immediately.

Address Changes
  • Employee completes and signs the top and section 1 of EAA form.
    Send EAA to University Enterprises Human Resources department immediately.

Employee Status / Employment Eligibility Form
  • Required on January 16th and August 16th each year.
  • Undergraduate students must maintain 6 semester or 9 quarter units.
  • Graduate students must maintain 4 semester or 6 quarter units.
  • Also submitted on June 1st if student is attending summer school.

Separations
  • Employee resigns:
    • Employee and supervisor complete Separation form.
    • If manual check requested, call the Human Resources department immediately.
    • Send Separation form to the University Enterprises Human Resources department.
  • Employee discharged:
    • Call the University Enterprises Human Resources department prior to discharge.

Time Reports
  • Due 1st and 16th of each month.
  • Submit late time reports immediately.

Verify on Time Report
  • Hours worked -- reflecting lunch hour.
  • Correct period dates used -- including year. Be sure period begins with 1st or 16th only.
  • State Holidays -- if worked, must be initialed by supervisor.
  • Changes, cross-outs or white-out must be initialed by supervisor.
  • Account number is correct.

Overtime
  • CA State law requires overtime payments for hours worked over:
    • 8 in one day
    • 40 in one work week
    • All hours on the 7th consecutive day in a work week (work week is Sunday - Saturday).

Paychecks
  • Issued on 7th and 22nd of each month (Holidays or weekends may vary these dates).
  • Checks are mailed to employee's local address.
  • Direct Deposit is available and encouraged.
